Return & Refund Policy

At VirPhone, we strive to ensure our customers receive the highest quality enterprise telecommunications equipment and services. This Return & Refund Policy outlines the terms governing the return, refund, and cancellation of hardware and software services.
1. Hardware Purchases
Hardware purchased directly from VirPhone is eligible for a return within a 30-day window from the date of delivery, subject to the following conditions:
- Unopened and Unused: Items must be returned in their original, unopened packaging to receive a full refund.
- Opened Items: Hardware that has been opened but remains in "like-new" condition is subject to a 15% restocking fee.
- Defective Items: Items determined to be defective out of the box are covered under the respective manufacturer's warranty and can be exchanged without a restocking fee.
2. Rental Devices (Device-as-a-Service)
Devices rented on a monthly basis remain the property of VirPhone. When a rental agreement is terminated:
- Devices must be returned within 10 business days of the termination date.
- Devices must be in good working condition, with normal wear and tear excepted.
- Failure to return rental devices, or returning them significantly damaged, will result in unreturned or damaged equipment fees applied to the payment method on file.
3. Service Subscriptions
Our Unified Communications as a Service (UCaaS) and VoIP service subscriptions are subject to the following cancellation terms:
- Month-to-Month: You can cancel your service at any time with a 30-day written notice. We do not provide refunds or credits for partial billing periods.
- Annual Plans: Annual contracts cancelled before the end of the term may be refunded pro-rata, minus applicable early termination fees as outlined in your master service agreement.
4. Exclusions
The following items are completely excluded from our standard return policy and are considered final sale:
- Custom-configured enterprise server systems or specialized PBX appliances.
- Items explicitly marked as "Clearance" or "Final Sale" at the time of purchase.
- Digital licenses that have already been activated or provisioned on your account.
5. How to Initiate a Return
To return an item, you must first obtain a Return Merchandise Authorization (RMA) number. Returns received without a valid RMA number will not be processed.

6. Refund Processing
Once your returned item is received and inspected by our warehouse, we will notify you of the approval or rejection of your refund. Approved refunds will be processed and a credit will automatically be applied to your original method of payment within 5-10 business days.
